Customer Service/Administrative Assistant

Position: Customer Service/Administrative Assistant (CSAA)
Shift: 8am - 5pm with one hour lunch
Location: Solon
Pay Rate: $30,000 - $35,000 (salaried/non-exempt)
Position Type: Direct hire

The Customer Service/Administrative Assistant position will be responsible for a number of Accounting and Administrative transactions for the company.
The primary function of the role is the expeditious processing of customer invoices.
Also, this person will provide customer service and insides sales support.
Additionally, the position will support the company's class presentation and rental program along with other duties.

- Generate and process customer invoices - Gather all of the necessary paperwork and information required to generate the customer invoice.
Send invoices directly to the customer
- Process customer credits - Process credits through the review cycle.
Once approved, will process credits for the company
- Identify freight per shipment with investigation of issues as required - Will review freight invoices and match freight to the specific orders for invoice processing, noting and researching discrepancies for resolution
- Provide customer service support and process sales orders as required - Will work directly with the sales staff to provide customer service support and answer customer phone calls
- Provide back up for Purchase Order entry - Will be trained to generate Purchase Orders and receive material in support of the Purchasing/Inventory Administrator
- Generate production work orders and enter production actuals - Will generate production work order paperwork required to fill orders and inventory
- Generate NAFTA paperwork for transactions as required - Will generate all NAFTA paperwork and work with carriers on international transactions
- Provide back up for generation of pick sheets, packing lists and BOL's - Will provide back up support to sales staff and warehouse personnel for order processing, including Pick Sheets, Packing Lists, Bills of Lading and other documentation required for shipment
- Work with sales people to host IICRC classes - Will work directly with the sales staff to host IICRC meetings, including class set up, food/beverages, badges, class surveys and clean up
- Maintain attendance lists for IICRC classes - Will take class reservations and maintain an attendance list for each IICRC class
- Maintain rental inventory spreadsheets - Will work directly with warehouse personal to ensure that all rental inventory is processed correctly including servicing, cleaning and repairs
- Process non-inventory PO's as required - Will work with Purchasing to process all non-inventory PO's
- Maintain files - Will file and maintain customer documentation
- Responsible for Office area - Answers telephone, greets visitors, opens/distributes mail and makes sure reception area stays neat and clean
- Maintains a small petty cash fund
- Maintain mail machine - Process certified mail when it is required and assist with Sales Department mailing
- HR liaison - Track attendance and out-of-office log
- Maintain bills of materials and process production entries as needed
- Performs other duties and assignments as directed by management.

- 2 to 3 years general office experience
- High school diploma or equivalent
- Strong verbal and written communication skills

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
